Executive Assistant

Do you have a strong and versatile administrative background and enjoy working with an executive of a small business? Are you interested in playing a key role in an organization that helps and supports the health and well-being of our community? Would you be excited to multi-task between several administrative areas such as Customer Service, Marketing, Event Planning, and Executive Support? Are you comfortable being the first person contacted in a rapidly evolving business? Skills

Strong written, verbal, and interpersonal communication; organization and time management; willingness and ability to learn computer programs and software including MindBody, Constant Contact, MailChimp, and Canva; ability to manage several projects while keeping critical deadlines; planning and scheduling; general office supply and equipment management.

COVID-19 Considerations

During the Shelter In Place, staff will mostly be working on site. Our work site adheres to all local standards and protocols regarding safety during the COVID-19 pandemic

Responsibilities

  • Conserve Executive's time by reading, researching, and routing correspondence; drafting emails, newsletters, and documents; collecting and analyzing information; and initiating communications
  • Develop and sustain a level of professionalism, including confidentiality, among staff and clientele
  • Create and maintain schedules for staff, clients, holidays, and company events
  • Find answers to clients and staff questions, take detailed messages, and/or direct inquiries to the appropriate staff member
  • Process Consultation paperwork for new clients as well as create and maintain profiles
  • Design and create informational email campaigns and maintain subscription lists
  • Help manage time sheets, payroll, processing new employee paperwork, and job postings
  • Maintain an organized filing system of paper and electronic documents
  • Support Executive before, during, and after staff meetings
  • Manage company in-kind donation requests
  • Maintain office and facility supplies as well as staff uniform inventory
  • Schedule routine maintenance for facility
  • Monitor and report facility needs
  • Manage staff birthdays

Responsibilities

  • Proven experience as an Executive Assistant or other relevant administrative experience
  • Professional level verbal and written communications skills
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • Appreciate working for a small business; willingness and ability to learn new skills and adapt
  • Experience with MindBody, Canva, Constant Contact, Mail Chimp, Asana and payroll preferred
  • A proactive approach to problem-solving with strong decision-making and collaboration skills
  • Ability and desire for flexibility with work load and schedule
  • High school diploma or equivalent
